Privacy and Data Protection
Due to the nature of our business, all Vet et Nous facilities collect and use personal information such as clients' names, addresses and e-mail addresses. It is therefore essential to ensure that this data is used carefully and securely.
Personal data is mainly collected when the animal's file is first opened. The name, address, telephone numbers and e-mail address are associated with the animal file, which contains the patient's name, description, weight and date of birth.
Vet et Nous uses personal data for its internal files. Data is also used when a third party is involved in the animal's healthcare. Data is used, for example, for third-party lab tests, radiology assessments, ultrasound requests, in-patient specialist referrals, animal referrals or transfers to other veterinary facilities, insurance trial enrollments, insurance claims, and external prescription writing.
Data is stored in Cornerstone or Logivet software, depending on the veterinary facility.
Limits on Use and Disclosure
We use the personal information provided by the customer for the following purposes, including :
- Providing quality veterinary care appropriate for the animal
- Scheduling and managing appointments and treatments
- Contacting clients regarding animal care
- Invoicing services and processing payments
- Responding to customer questions and concerns
- Referring the animal to specialized care in the facility or elsewhere
- Making an inquiry in connection with the animal’s medical insurance
Personal information will not be sold to third parties or published online.
We will only disclose personal information with express consent (verbal or written), except where required by law, such as in the case of a contagious disease report or legal proceedings.
Data Security
Data is stored in Logivet or Cornerstone software, depending on the facility. Backups to the “cloud” are made periodically; only managers have access to administrative functions; the server is separated from the rest of the network and protected by a firewall to reduce the risk of ransomware; the operating system is always up-to-date with the latest Microsoft updates; antivirus software is kept up-to-date; staff are made aware of cyber-risks.
Printed documents containing personal information are securely destroyed in-house.
Hard copy documents that must be kept in accordance with the standards of the Ordre des médecins vétérinaires du Québec, are stored at the veterinary facility, in a location inaccessible to the public, until they are destroyed.

Retention of Personal Information
As required by the Ordre des Médecins Vétérinaires du Québec, the information collected and recorded in the medical file will be kept for a minimum of 5 years after the last professional service rendered. Thereafter, the client's personal information and the animal's medical file can be securely destroyed.
Protection of Personal Information
We take appropriate security measures to protect your personal information from unauthorized access, loss, disclosure or alteration. Our employees have received privacy training and have access to your information only in the context of their duties to provide care for your pet.
Access and Correction
