Vet et Nous is a multidisciplinary team composed of veterinarian both generalists and specialists operating at high rank whose mission is to take care of client’s pets as if they were our own. Our teams are split in 3 emergency and reference centres open 24/7 and several general practice hospitals in the greater Montreal, Laval, Montérégie, Laurentides, Lanaudière, Mauricie, Saguenay-Lac-St-Jean and Quebec region.


A resource for the Hospital Manager, the Administrative Assistant calculates, prepares and processes invoices, accounts payable and receivable, budgets and other financial records in accordance with established procedures. He prepares employee payrolls under the supervision of the hospital manager and team leaders. Provides computer technical support or relays needs to IT Support as required.

Main Responsibilities:

  • Process accounts payable;
  • Follow up on accounts receivable and collect overdue accounts;
  • Close open PVLs on a weekly basis;
  • Perform invoice verification;
  • Perform cash balancing and deposits;
  • Reconcile credit cards and daily receipts;
  • Perform manual invoicing and/or with the internal management system;
  • Follow-up on Trupanions, Lendcare, Paybright and other files;
  • Perform document archiving;
  • Perform bank reconciliation;
  • Prepare summary reports;
  • Prepare end-of-month, end-of-quarter and end-of-year financial statements;
  • Receive and distribute mail, as well as file for administration;
  • Archive documents;
  • Make purchases from various retailers (office supplies, Amazon, Walmart, Pharmacy, Dollarama, Van Houtte, etc.);
  • Prepare estimates of services from suppliers related to building maintenance;
  • Manage conference room set-up and preparations for special events;
  • Invoice conference room rentals;
  • Enter employee time stamps into internal system;
  • Perform all other related administrative tasks.


Work relations :

  • Participates in meetings and training sessions to acquire knowledge that will be useful in answering customer questions;
  • Good communication with the management team.



  • Minimum experience of 2 years in a similar position;
  • Highly committed to providing a professional service to internal and external customers;
  • Advanced knowledge of the Microsoft Office suite;
  • Autonomy and versatility;
  • Excellent management of priorities, methodical;
  • Strong analytical skills;
  • Discretion;
  • Bilingualism, French/English, oral and written
